About the Role

As a POD (Proof of Delivery) Clerk, you will play a crucial role in ensuring that all delivery documentation is handled efficiently and accurately. This position is vital for maintaining the integrity of the supply chain process, allowing the organization to function seamlessly. You will be responsible for administering, controlling, and managing Proof of Delivery documents, which are essential for verifying that products are delivered to customers as intended.

This role requires someone who is detail-oriented, organized, and possesses excellent communication skills. You will work closely with various departments, including logistics and finance, to ensure that all POD documentation is processed correctly and in a timely manner.

Key Responsibilities

In your capacity as a POD Clerk, you will undertake several important tasks, including:

1. Administration of PODs

  • Administer and manage all POD documentation to ensure that it is accurately recorded and processed. You will maintain an organized filing system to allow for quick retrieval of documents when needed.
  • Ensure that all PODs are signed off by the relevant parties upon delivery and are stored securely to prevent loss or damage.

2. Data Entry and Management

  • Accurately enter data related to deliveries into the company’s systems, ensuring that all information is complete and correct. This includes details such as delivery dates, recipient names, and any discrepancies that may arise during delivery.
  • Utilize Syspro or other software applications to manage and track POD documentation effectively.

3. Collaboration with Departments

  • Work closely with the logistics team to verify delivery schedules and ensure that all deliveries are completed on time. You will need to communicate any issues or delays promptly.
  • Liaise with the finance department to reconcile delivery records with invoices and ensure that all payments are processed accurately.

4. Reporting

  • Generate reports related to PODs, identifying trends, discrepancies, and areas for improvement. Your analytical skills will be essential in providing insights that enhance the overall delivery process.
  • Assist in preparing monthly summaries of POD activities for management review.

5. Customer Service

  • Provide excellent service to both internal and external stakeholders by addressing queries related to PODs and deliveries promptly and professionally.
  • Assist in resolving any issues that may arise with delivery documentation, ensuring a smooth customer experience.

Minimum Requirements

To be eligible for this position, candidates must meet the following criteria:

  • Educational Background: A Matric certificate is essential, with a strong emphasis on Accounting and Mathematics. This foundational knowledge will be crucial in managing financial aspects of PODs.
  • Experience: A minimum of one year of experience in a similar role is required. This experience should provide you with a solid understanding of delivery processes and documentation management.
  • Technical Skills: Experience with Syspro is advantageous, but computer literacy is essential. Proficiency in software applications will help you navigate the systems used for tracking and managing PODs effectively.
  • Attention to Detail: You must possess strong attention to detail and organizational skills to ensure that all documentation is accurate and complete.
