Key Responsibilities:
As a Data Capture Specialist, your primary responsibility will be to capture and manage documents and electronic records in compliance with established classification and retention guidelines. Here’s a detailed look at what you’ll be doing:
- Document Handling:
You will receive, sort, and process documents according to specific client requirements. This includes removing staples, pins, and clips as needed and ensuring that all documents are organized systematically. - Document Preparation and Indexing:
Your role will involve applying barcodes to documents, prepping, and indexing them with a keen eye for detail. It is essential that you link documents correctly to their respective files and temporary folders. - Document Imaging:
You will be responsible for imaging documents according to client specifications, ensuring that each image is of high quality, correctly oriented, and free of blank pages. Checking that the number of pages matches the original documents will also be part of your duties. - Quality Control:
You’ll conduct thorough quality checks to verify indexing and imaging details, ensuring that every piece of data is processed correctly and meets client expectations. If you identify errors, you will correct them promptly and log them for further training. - Scanning and Tracking:
Scanning files into the designated e-Scanner locations for image transfer is a crucial part of your job. Once images have been transferred, you will print picklists and manage file transfers to vault locations. - Interfiling and Organization:
Ensuring that all documents within a folder are scanned and properly linked will require you to perform interfiling tasks diligently. - Cross-Referencing:
You will check that the temporary folders in the system are clear, ensuring no pending items affect your workflow. - File Creation and Releases:
You’ll be responsible for creating new files and managing the release processes, ensuring all steps are adhered to meticulously. - Mail Room Functions:
Your duties will include dispatching and receiving files, acknowledging receipt, and distributing them to various divisions as necessary. - Archiving:
Monitoring and processing all archive storage requests will be an important part of your role, as will be maintaining client confidentiality in line with POPI requirements. - Efficiency and Accuracy:
While accuracy is vital, you will also need to focus on efficiency and processing volumes daily to meet service level agreements (SLAs). Balancing both aspects will be essential to your success. - Team Communication:
