Position Overview:
The Invoicing Clerk and Administrator will be responsible for managing the invoicing process, ensuring accuracy, and maintaining administrative records. Key Responsibilities:
- Invoicing Duties:
- Generate accurate invoices for vehicle sales and services.
- Ensure that all invoicing is done in compliance with company policies and industry standards.
- Verify that all documentation, including customer details and vehicle information, is complete before issuing invoices.
- Reconcile invoices with payments received and follow up on outstanding amounts.
- Work closely with the sales and finance teams to resolve any discrepancies or issues related to invoicing.
- Administrative Duties:
- Assist with general administrative tasks, such as filing, answering phone calls, and managing correspondence.
- Maintain accurate records of all transactions and ensure that data is correctly captured in the dealership’s systems.
- Prepare and submit reports as required by management.
- Handle customer inquiries related to invoicing and administrative matters in a professional and timely manner.
- Support other departments with administrative tasks when necessary.
- Collaboration and Communication:
- Work closely with the finance and sales teams to ensure smooth operations.
- Communicate with customers and suppliers as needed regarding invoicing issues.
- Provide updates to management on the status of outstanding invoices and payments.
Requirements:
To be considered for this role, applicants must meet the following requirements:
- Experience with Evolve: Previous experience using Evolve or similar dealership management systems is essential. This experience ensures that you can hit the ground running and integrate seamlessly into the team.
- Grade 12 Certificate: A minimum of a Grade 12 certificate (Matric) is required for this position.
- Location: Candidates should reside in the Northern Suburbs of Johannesburg or be willing to commute to Randburg.
- Driver’s License: A valid driver’s license is essential, as the position may require traveling between locations or running errands on behalf of the dealership.
- Previous Experience: At least 2 years of experience in a similar position (invoicing and administration) is necessary. Applicants without this experience may not be considered.
