Position Overview:
In this role, you will play a vital part in overseeing the complete credit granting process within the company. The Creditors Supervisor will ensure that credit policies are applied consistently, conduct regular reviews of existing clients, and evaluate the creditworthiness of potential clients. Key Responsibilities:
As a Creditors Supervisor, your day-to-day responsibilities will include, but are not limited to:
1. Invoice Management:
- Assisting with Invoice Capture: You will be responsible for helping capture invoices, ensuring that all necessary documentation is accurately processed in a timely manner.
- Managing Overdue Items: You will take the lead in managing and analyzing overdue invoices, especially those that are more than 60 days old. Your role will involve investigating unpaid items and collaborating with other departments to resolve outstanding issues effectively.
- Building Supplier Relationships: Maintaining strong relationships with suppliers is essential. You will conduct regular meetings with them to discuss any concerns and strengthen business partnerships.
- Maintaining Supplier Database: Keeping an up-to-date and comprehensive supplier database is key. You will record essential details about suppliers and the services they provide.
- Conducting Audits: Regular vendor documentation audits will be part of your responsibilities to ensure compliance with company standards and regulations.
2. Payment Cycles:
- Adherence to Payment Deadlines: You will ensure that all payments are made on time, adhering to a strict deadline of 13:00.
- Reviewing EFT Payments: It is crucial that you review EFT payment batches for accuracy and compliance before processing.
- Documenting Payments: You will save soft copies of finalized EFT batches as proof of payment for future reference.
- Coordinating Payment Summaries: For significant amounts over R350,000, you will coordinate payment summaries and ensure they are submitted by 10:00 every Wednesday.
3. Procurement Oversight:
- Compliance with Procurement Policies: As part of your role, you will oversee that procurement policies are followed during supplier approvals.
- Maintaining Vendor Records: You will also maintain vendor records, ensuring all relevant BEE reporting requirements are fulfilled.
4. General Ledger Management:
- Month-End Reconciliation: Assisting with month-end reconciliations of creditors control will be a significant part of your responsibilities.
- Managing Accruals: You will be in charge of managing the general accrual process, ensuring all financial records are accurate.
5. Bank and Cash Management:
- Communication of Payments: Ensuring that all ad hoc payments are communicated and reconciled will be essential in your role.
- Prompt Reconciliation: You will work on clearing bank reconciliation items quickly to avoid any discrepancies.
- Handling Returned Payments: You will need to correct and communicate any returned supplier payments promptly to the relevant parties.
6. Reviewing and Reconciliation:
- Correct Allocation and VAT Treatment: It will be your responsibility to ensure that credit clerks are correctly allocating invoices and treating VAT appropriately.
- Validating Invoices: You will validate invoices against the invoice register to ensure accuracy.
- Coordinating Monthly Statements: Coordinating the completeness of monthly supplier statements and reviewing creditor reconciliations will also fall under your duties.
- Compliance with Documentation: Ensuring compliance with all payment documentation requirements is crucial for smooth operations.
- Discussion of Outstanding Items: You will regularly discuss outstanding items with department administrators and creditors to maintain clear communication.
7. Monthly Reporting:
- Running Age Analysis Reports: After payment cycles, you will run creditors age analysis reports to review outstanding debts and ensure that ad hoc payments are correctly captured in the system.
Qualifications and Skills Required:
To be considered for this role, you will need to meet the following qualifications and skills:
- Education: A completed Finance Degree or Diploma is essential to provide a strong foundation in financial principles and practices.
- Experience: You should have 2 to 4 years of experience in a similar role, demonstrating your ability to handle the responsibilities outlined above effectively.
- Technical Skills: Advanced proficiency in Excel is required. You should be comfortable with spreadsheets and data analysis to manage financial information efficiently.
