Position Overview:
As an Accounts Payable Administrator, you will be at the heart of the financial operations of the company. Key Responsibilities:
Your duties will include, but are not limited to:
- Management of Accounts Payable Mailbox:
You will oversee the accounts payable mailbox, ensuring that all incoming invoices are received and processed smoothly. This requires regular monitoring to maintain an organized workflow, addressing queries from vendors promptly to facilitate efficient invoice authorization. - Processing Invoices:
The role involves processing third-party accounts payable invoices. You will ensure that all invoices are entered into the system accurately, reflecting the correct amounts and ensuring that they meet company standards for processing. - Payment Runs:
You will prepare and execute regular payment runs using SAP and HSBC systems. This task demands careful attention to detail to ensure that all payments are made on time and that the company’s financial commitments are met without delay. - Posting and Reconciling Payments:
After payments are processed, you will be responsible for posting and reconciling all transactions. This step is crucial to maintaining accurate financial records and ensuring that the company’s accounts reflect its true financial position. - Vendor Age Analysis:
You will prepare and reconcile vendor age analysis reports to third-party statements. This process will help identify any outstanding payments and ensure that vendor accounts are up-to-date. - Petty Cash and Company Credit Card Management:
You will administer and reconcile petty cash funds and company credit card expenses. This includes ensuring that all transactions are documented and that cash balances are maintained accurately. - Resolving Discrepancies:
When discrepancies arise related to vendor reconciliations, you will take the initiative to resolve these issues. This requires effective communication with vendors and internal teams to ensure that any problems are addressed swiftly. - Audit Documentation:
Assisting in the preparation of audit documentation will be part of your responsibilities. You will work alongside the finance team on various ad-hoc tasks, contributing to the company’s compliance and governance efforts. - Record Maintenance:
Maintaining accurate vendor and employee records in SAP is essential. You will also support year-end audits, ensuring that all necessary documentation and records are readily available.
Qualifications & Experience:
To be considered for this position, candidates must meet the following requirements:
- A minimum of 2 years of experience in accounts payable or general accounting is essential.
- Proficiency in Microsoft Office Suite, particularly in Excel, Word, and Outlook, is necessary for managing data and communication effectively.
- Experience with SAP software is highly advantageous, as this will be the primary system used for processing financial transactions.
- A diploma or certification in finance or accounts payable is beneficial and will support your application.
- Previous experience in the FMCG sector is a plus, as it demonstrates familiarity with the industry’s specific financial practices.
