Position Overview

Life Healthcare is seeking a Maintenance Planner for Life Queenstown Private Hospital. Reporting to the Hospital Engineering Manager and Senior Clinical Engineer, the incumbent will be responsible for the planning and management of all engineering tasks. This includes managing routine services, emergency breakdowns, procurement of engineering-related materials, managing the SAP system, overseeing contractors’ access on-site, and performing administrative duties for the engineering department. The role requires an organized, energetic, and detail-oriented individual with strong interpersonal skills.

Key Responsibilities

1. Administrative and Secretarial Support

  • Provide full secretarial support to the engineering department, including typing correspondence, managing messages, scheduling meetings, and taking accurate minutes.
  • Develop and maintain an effective filing system for engineering documents.

2. Engineering and Operational Support

  • Capture and close engineering job cards on the SAP system weekly.
  • Control daily stock and inventory of materials, tools, and equipment, ensuring everything is properly accounted for.
  • Generate requisitions and process daily invoices for engineering-related expenses.

3. Management and Coordination

  • Coordinate and plan engineering tasks, ensuring all services are completed on time and within budget.
  • Manage the access of contractors on-site and oversee their activities in line with hospital procedures.
  • Assist in managing daily, weekly, and monthly engineering quality scorecard statistics and compile detailed reports.
  • Assist with day-to-day clinical and operational engineering issues, as well as ad-hoc projects and tasks.
  • Support the Clinical and Operations Manager with various tasks, such as project quotes and invoice processing.

4. Risk and Compliance Management

  • Participate in SHEQ (Safety, Health, Environment, and Quality) procedures as the nominated/appointed SHEQ Representative for the engineering office and workshop.
  • Conduct bi-annual asset verification to ensure accurate records are kept.
  • Assist with the planning, ordering, and completion of the SAP year planner services.

5. General Maintenance

  • Have a good understanding of clinical and plant equipment and ensure they are properly maintained.
  • Prepare to perform standby duties, ensuring prompt response to any emergencies.

Qualifications and Requirements

To be eligible for this position, the candidate must meet the following criteria:

  • Education: Grade 12 or trade test with an electrical heavy current qualification (advantageous).
  • Experience: Extensive knowledge of MS Office (Word, Excel, PowerPoint) and the ability to deal with confidential matters.
  • SAP Knowledge: Experience with SAP is an advantage, especially in managing requisitions and invoices.
  • Skills: Strong organizational skills, attention to detail, and the ability to work under pressure.
  • Communication Skills: Must possess excellent interpersonal and communication skills, both verbally and in writing.
  • Driver’s License: A valid type EB code driver’s license is advantageous.
  • Other Skills: Accuracy, speed, and attention to detail are essential, as well as the ability to manage tasks in a demanding environment.

Preferred Experience

  • Clinical and Operations Engineering: Experience in the hospital environment, understanding clinical and plant equipment.
  • SHEQ Procedures: Experience in managing and complying with safety, health, environment, and quality (SHEQ) standards.
