Key Responsibilities
As an Administrator, you will be expected to manage a variety of office tasks and contribute to the smooth functioning of daily operations. The core duties include, but are not limited to:
- General Office Management: Oversee the daily administrative operations of the office, including managing office supplies, handling communication, and ensuring the office environment is organized and efficient.
- Contract Management: Handle and manage company contracts, ensuring they are up to date, organized, and all necessary actions are followed through. This includes managing contract timelines and renewals, and ensuring all parties involved are kept informed.
- Tenders and Quotations: Take responsibility for preparing and submitting tenders and quotations, ensuring that all documentation is complete, compliant with company standards, and submitted within deadlines.
- Debtors and Creditors Management: Assist in maintaining basic financial records, particularly with accounts payable and receivable. This includes monitoring payments, following up on overdue accounts, and liaising with financial departments or service providers where necessary.
- Telephonic Sales Support: Provide some support in sales via telephonic communication. This involves responding to inquiries, assisting customers, and generating leads where possible. Experience in telephonic sales will be a valuable asset in this role.
- Accounting Support: If you have a background in accounting, it would be an added advantage as you may be involved in assisting with general accounting tasks. This could include data entry, reconciling accounts, and providing general support to the finance team.
Requirements
To be considered for this Administrator role, candidates must meet the following minimum requirements:
- Matric Qualification: A matric certificate is a non-negotiable requirement for this role. Candidates must have completed secondary school education.
- MS Office Proficiency: A strong command of Microsoft Office, particularly Word, Excel, and Outlook, is essential. The successful candidate will need to demonstrate their ability to effectively use these tools for office management, communication, and data organization.
